The Challenges

iXS was using a local HR system in the Philippines since 2018, but they were not able to use the system fully due to the lack of awareness of the product’s features and functionalities. As a result, they could only manage their attendance, leave management, and basic data reporting, while relying on spreadsheets to manage their payroll, onboarding, and employee database. 

The reason for this was that little guidance was provided on how to use the platform, so it was hard to fully grasp the platform’s capabilities. The only resources they had were a couple of generic videos to watch, which was not adequate. Especially when iXS wanted to customize it based on their company’s needs and requirements. All in all, this was not an efficient way for the HR team to manage their processes, as it still involved manual and clerical tasks. In addition, the after-sales support was almost non-existent when they faced any issues or concerns.

The Solutions

After using Omni HR, the first thing that stood out was achieving a seamless onboarding process. After setting up an automated onboarding workflow, the HR team no longer needed to run through their onboarding checklist manually, which required a lot of coordination. Back-and-forth communication and follow-ups between departments is now minimized. For any overdue tasks, automated reminders are sent to the relevant personnel. With less supervision needed, HR has more time to focus on other HR matters. 

Omni HR time off module provided more visibility on team member’s time off schedule. This is easily viewable on the main dashboard of Omni’s platform for remote or in-office employees. Employees are able to see who’s in and out of the office at a glance. This ensures better project management coordination and avoids running into a shortage of manpower. 

Moreover, Omni HR employee records module has not only proven to be beneficial to HR but to employees as well. Now that all records are stored in a digital and centralized location. Employees have the ability to retrieve their payslips or check their employment history through the self-service function, giving them more control and flexibility.
