The Challenges
Reap was previously using multiple Google sheets and Excel to manage their HR processes and employee data which came with many limitations and complexity issues. Storing employee records proved to be a challenge given the way how Google sheets were formatted, it was not the most ideal platform to upload images. As a result, it was inconvenient for HR to have a quick overview of each employee’s profile, since they were unable to include a photo of each employee in the same spreadsheet as their personal details.
In addition, all their data ranging from payroll, employee records, attendance, and timesheets were recorded on separate spreadsheets. It was a time-consuming and inconvenient process, especially when it comes to extracting or updating it.
Tracking employees’ leave was a hassle as well. Taking into account that manual calculations have to be made for prorated leaves and brought forward leaves for different new joiners throughout the year. In addition, every leave request or sick leave had to be recorded manually inside the spreadsheet by HR. In the event that any employee is on MC, HR would need to send out an email blast to the company to notify everyone and also proceed to block out the employee’s calendar. This proved to be a challenge since the company is expanding rapidly.
The Solutions
Omni HR centralized employee database enabled HR to have a quick overview of all employees’ information, instead of manually running through several spreadsheets to gather all the necessary information. HR is able to put a face to each employee’s profile with Omni’s image upload feature, and view each employee’s information at a glance which is an important feature given that Reap is scaling quickly. By doing so, less time and effort are needed to consolidate the information they need.
Omni HR attendance module enabled employees to log into the system and submit their leave and sick request without having to reach out to HR to assist them with the application. Employees have full visibility and control over their leave, where they can track their time off application and also have a quick overview of their team members’ calendar with Omni’s dashboard. This helps them avoid the risk of multiple employees taking time off during the same period. From a management perspective, they have full visibility of who’s in and out of the office without having HR send out an email blast.
Omni HR onboarding module streamlines the onboarding process both internally and externally. With an automated onboarding workflow, it minimizes the need to coordinate and communicate with the relevant departments. Automated reminders are sent for any overdue tasks, eliminating the need for HR to send chaser emails. In addition, HR is able to customize their own questionnaire template and send it out to every new joiner prior to their start date. Having all the relevant information in one place, allows HR to focus more on employee engagement.
