Performance management is an essential process to the Dev Team HR department, allowing them to keep their team aligned and motivated. Yet manual processes and a lack of sufficient document and data storage made routine programs, like annual performance reviews, both time consuming and inefficient.

Without a tool to streamline their process, Dev Team resorted to a manual program, sending out individual PDF files to supervisors and tracking review progress in separate spreadsheets and across email. “It was difficult to track progress. We had to send the form, rely on managers to get it back to us, then compile the results, resend them to other supervisors, and finally distribute them to the employees.” recalls Casacop. Supervisors were also required to edit the document and input their own criteria for evaluating employees, which led to confusion and inconsistent assessments. The Challenge

Dev Team’s 50 person strong team consists of varied schedules and leave allowances, which require careful management and calculation from their HR department. A task that, before Omni, the team was tracking and calculating with a tool that lacked checks and balances.

“The HR department would be chasing people down, or we’d have employees coming to us saying, ‘I made a mistake on my timesheet, can you fix it?’ This was incredibly time consuming and taxing.”, recalls Casacop. These inaccuracies in employee time sheets were especially critical during payroll processing, where accurate attendance and time off records are essential. The HR team faced obstacles, as many employees either clocked in late or didn’t clock in at all. As Casacop recalled, “When we were running payroll, we found ourselves in the situation where we would ask, 'Was this person here? Are we supposed to pay them?’” Furthermore, their previous system locked employees out once they had clocked in or if the day had passed, making it impossible to adjust or correct attendance errors.

“It was very difficult with our previous system, some individuals may not clock in on time and their timesheets were not able to be edited. Unlike in Omni, it was very difficult and time consuming because we had to retroactively fix time sheets and filter requests.”, shared Minguez. This process led to administrative inefficiencies and increased potential for errors.

Omni’s Solution

Omni’s automated and time tracking system brought a simplified and secure approach to Dev Team’s leave management. Employees can simply clock in or out directly within Omni and edit their timesheets with manager approval when necessary through their employee self-service portal. This system brought greater autonomy to Dev Team employees, provided visibility for management and HR, and released the HR team from the administrative burden of fielding employee timesheet error requests. 

Whatsmore, Omni’s timetracking system automatically informs payroll calculations, allowing for a streamlined and accurate payroll cycle. “Omni allows us to extract accurate data, which makes it a great platform for timekeeping and payroll," said Minguez.

When errors arise, Dev Team’s HR team can swiftly make necessary edits and updates in real-time, mitigating payroll delays or discrepancies each month. This system alleviates their administrative load, reduces employee frustration, and improves their overall HR management processes.

“Omni makes it really easy to manage our employee’s timetracking,” shared Casacop. With automated time off and attendance modules, the days of manual tracking are over for Dev Team. Data syncing has significantly reduced errors, resulting in more accurate records of employee hours worked and time off. Previously, their HR team had to constantly manually update incorrect timesheets, but since implementation, such incidents have significantly dropped.

Finally, the improved accuracy in timekeeping has translated to fewer errors in payroll calculations. This improvement has streamlined their payroll process, reduced discrepancies, and ultimately resulted in more efficient and accurate payroll management.

3. Enhanced Employee Engagement

The Challenge

With Dev Team’s previous leave-tracking system, there was no centralized way to holistically view employee availability or important dates. “Previously, we didn’t really have the ability to easily view who's on leave or get notified about it through the system,” shared Casacop. Data was disjointed, requiring HR and management to review profiles on a case-by-case basis to know who was on leave, or when someone’s birthday or work anniversaries were. This system caused confusion among teams and could even result in lapse in coverage, impacting productivity and causing frustration among departments. 

Omni’s Solution

As a centralized system, Omni’s unified previously disjointed functions like employee time tracking and records. Now, when a Dev Team employee is approved for time off, Omni automatically updates the team calendar—integrated with Google Calendar—to reflect who is in and out of the office, making information easily available to HR, managers and peers. “Employee availability is automatically reflected on our calendar. Now, if an employee is currently out sick or it's their birthday or they’re on vacation, we can see it immediately,” shared Casacop. This data sync removed the necessity of manually tracking and re-recording employee availability, not only saving time for HR, but reducing scheduling conflicts and improving team function.

Team functionality isn’t the only benefit of unifying their data with Omni. Since making the switch, Dev Team has leveraged information to develop engagement initiatives for their employees. “Since it's reflected on our Google calendar now, we never forget an employee’s birthday or their work anniversary. Now, we give regular shout-outs over Slack on important dates, inviting the team to celebrate with each other, they really enjoy it.” Casacop reflected.
